Facility Coordinator- JLL What this job involves: As a Facility Coordinator at JLL, you'll serve as an essential operational partner supporting our client in Anaheim, CA. This role places you at the center of facility operations, where you'll work alongside Facility Managers and Engineering Teams to deliver seamless service across maintenance, vendor management, financial tracking, and customer service. From managing work orders and vendor relationships to supporting special events and maintaining service excellence, you'll have diverse responsibilities that make each day dynamic and engaging. You'll need to be onsite during working hours, serving as a visible, responsive resource who embodies professionalism and service excellence. What your day-to-day will look like: • Provide direct support to the Facility Management and Engineering Team including quality checks of work orders, data review, customer service delivery, and financial reporting assistance with proactive follow-up • Serve as front desk support and primary interface for guests, visitors, vendors, and employees, resolving inquiries and unique situations with professionalism and creative problem-solving • Receive and dispatch work requests to technical staff and vendors, manage invoicing follow-up, track payment status, and process invoices for material purchases and monthly recurring costs • Conduct visual inspections of common area spaces and coordinate building services including janitorial, breakrooms, restrooms, parking, badging, conference rooms, and equipment • Order signage for the entire client portfolio, gather and coordinate janitorial and pantry supply orders, and manage product receipt with client collaboration • Support operational reporting, budgeting, financial systems, administrative tasks including annual property audits, procedure documentation, electronic filing, and meeting coordination • Maintain shared inboxes, manage daily mail review and sorting, submit vendor safety plans for approval, and support facility-specific cost savings targets Required qualifications: • HS diploma or equivalent • 2+ years of experience in facility or property administration • Proven customer service experience with superior interpersonal skills and service orientation • Ability to maintain professionalism and effectively deal with stressful situations • Physical ability to stand, walk, conduct facility inspections, and perform tasks requiring mobility throughout the workday • Strong organizational skills with ability to plan and manage work under time constraints and multitask independently with minimal supervision • Excellent written, verbal, and interpersonal communication skills with collaborative work style Preferred qualifications: • Associate's degree in facilities management, building, business, or related field, or equivalent work experience • Proficiency in MS Office (Excel, Word, PowerPoint, Visio) with ability to customize administrative reports • Experience with computerized maintenance management systems (CMMS) and facility operations software • Experience working with Service Level Agreements and Key Performance Indicators in facility management environments • Demonstrated capacity to deal with ambiguity and solve complex problems effectively in fast-paced environments Schedule: M-F 8am-5pm Location: Anaheim, CA This position does not provide visa sponsorship. Estimated compensation for this position: 58,240.00 – 62,400.00 USD per year This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
