The Team The Operations Assistant plays a key front-of-house role in ensuring the smooth day-to-day running of Avalon’s London office. Acting as a central point of contact for staff, clients and visitors, this position supports facilities management, office operations and internal communications, helping to maintain a professional, welcoming and efficient working environment across all UK business divisions. Working alongside another Operations Assistant and Receptionist, and reporting to the Office Manager, you will be a proactive, detail-oriented and personable team member who thrives in a fast-paced office environment. The hours of work are on a rotation basis of 8.00am to 4.30pm, 9.00am to 5:30pm and 10.00am to 6:30pm, with an hour for lunch. Key Responsibilities Office & Facilities Support Setting up, clearing and preparing internal meeting rooms Assisting with the setup of external meetings when required Conducting twice-daily building checks to ensure meeting rooms, offices and communal areas are tidy and presentable Checking that all equipment and lighting are functioning and reporting faults to the Office Manager Assisting with the setup and closedown of production offices Reception cover during lunch breaks and early morning or late evening shifts Stock & Supplies Management Conducting daily stock checks of catering and stationery supplies Restocking offices, kitchens and communal areas as required Ensuring all kitchens and directors’ fridges are fully stocked Maintaining an inventory of printers and cartridges and ordering replacements as required Administrative & Operational Support Sorting and distributing incoming post and franking outgoing post Raising purchase orders and supporting general administrative processes as instructed Liaising with contractors regarding office maintenance and facilities issues Providing general administrative and office support duties as required Assisting with content and design for the monthly staff newsletter Supporting internal communications initiatives as directed About You Personable and presentable and confident interacting with colleagues, clients and visitors in a professional and polite manner Ability to work independently, take initiative and maintain high standards Self-motivated with a keen eye for detail Excellent verbal and written communication skills A proactive, solution-oriented mindset Ability to manage multiple priorities in a fast-paced environment Proficiency in PhotoShop, Canva and Campaign Monitor desirable What We Offer Cycle to work scheme Income protection scheme Life assurance Pension scheme Employee assistance programme Competitive holiday allowance Season ticket loans Regular staff socials, seasonal parties, tickets for our Live gigs, Monday breakfasts and more
