We partner with recruiters, hiring managers, staffing agencies, vendors, and contractors to coordinate hiring activities, maintain accurate recruiting data, and strengthen the processes that enable effective workforce planning and execution. WHAT WE NEED We are seeking a highly organized and detail-oriented Talent Acquisition Operations Specialist to own critical recruiting operations with a strong focus on contractor hiring and workforce administration. This role manages complex interview and candidate logistics, oversees the contractor recruitment lifecycle, maintains accurate records and documentation, and drives process improvements that support recruiters, hiring managers, vendors, candidates, and contractors. The ideal candidate combines recruiting experience with strong operational expertise, sound judgment, relationship management skills, data accuracy, and a continuous improvement mindset. WHAT YOU'LL DO Schedule and coordinate in-person, virtual, and phone interviews across multiple recruiters and hiring teams while delivering a positive candidate experience. Coordinate candidate travel arrangements and process reimbursements for travel-related expenses. Own the Contingent Labor inbox, respond to candidate and vendor inquiries, and route requests to the appropriate stakeholders. Manage the contractor recruitment lifecycle, including resume review, interview coordination, rate negotiations, offer presentation, candidate record creation and maintenance within the applicant tracking system, and completion of required documentation. Facilitate contractor onboarding and offboarding activities and regularly partner with hiring managers to support successful contractor engagements and proactively address issues. Create, update, and maintain process documentation and training materials for the Talent Acquisition team and recruiting stakeholders. Support reporting activities and audits to ensure data accuracy, identify discrepancies, and improve data integrity. Recommend and implement process improvements that increase operational consistency, efficiency, accuracy, and stakeholder satisfaction. Support acquisition-related hiring activities, including preparing and extending offer letters and completing other assigned recruiting support tasks. Perform other duties as assigned. WHAT YOU'LL NEED Bachelor's degree or equivalent combination of education and relevant experience. Minimum of 3 years of experience in talent acquisition, human resources, recruiting operations, or a related field. Minimum of 2 years of full-cycle recruiting experience, preferably within both corporate and agency environments. Experience coordinating interviews and managing communications with candidates, hiring managers, vendors, and contractors in a fast-paced environment. Proven ability to build and maintain effective working relationships with managers, executives, staffing agencies, vendors, candidates, and contractors. Strong organizational and time management skills with the ability to prioritize competing demands, manage multiple workstreams, and maintain attention to detail. Ability to identify operational challenges and develop practical process improvements and data-driven solutions. Strong written and verbal communication skills with the ability to clearly explain processes and present ideas to a variety of audiences. Intermediate to advanced proficiency with Microsoft Excel, PowerPoint, Word, and Outlook. Experience with Workday or other applicant tracking systems and human capital management platforms preferred. Experience developing process documentation and delivering training on processes and procedures preferred. OUR ENVIRONMENT Up to 10% travel may be required.
