What You’ll Do As a Construction Administrator, you will be the back-office backbone of Lambda’s data center build program. You will take in contractor schedules, submittals, drawings, RFIs, and change documentation across a portfolio of concurrent projects and turn them into a single clean, current, and trustworthy picture of where every project stands. You will distill dense contractor schedules into the milestone views leadership actually uses, maintain rigorous document control across the full project lifecycle, and run the reporting cadence that keeps the DCIE team, our data center providers, and our contractors aligned. This role reports to the Data Center Implementation Manager and works daily with the Implementation Project Managers, field teams, procurement, and finance. Key Responsibilities - Schedule Distillation & Analysis: - Ingest contractor and vendor schedules across multiple concurrent projects. Extract critical path, key milestones, long-lead deliveries, and float consumption, and roll them into consolidated program-level and executive-level schedule views. Flag slippage, sequencing conflicts, and milestone risk before they surface in the field. - Master Schedule Maintenance: - Maintain Lambda’s integrated program schedule and milestone tracker. Reconcile contractor updates against baseline, maintain revision history, and keep OFCI delivery dates, commissioning windows, and capacity ready-for-service dates aligned. - Document Control: - Own the project document control system end to end: drawing registers, specifications, submittal logs, RFI logs, transmittals, meeting minutes, permits, inspection records, and as-builts. Enforce naming conventions, revision control, and access permissions so every stakeholder is working from the current set. - Submittal & RFI Administration: - Log, route, and track submittals and RFIs to the correct internal reviewers. Monitor turnaround against contractual review windows, chase overdue responses, and maintain a clean audit trail of decisions and approvals. - Change & Cost Documentation: - Track change orders, change directives, and potential change items from initiation through disposition. Maintain supporting documentation and reconcile the change log against budget trackers, purchase orders, and invoices in coordination with procurement and finance. - Reporting Cadence: - Produce the recurring reporting package: weekly project status reports, milestone dashboards, open-item and risk registers, and monthly program summaries for executive leadership. Ensure figures tie out across schedule, cost, and field reporting. - Meeting & Action Item Support: - Prepare agendas and materials for OAC, design review, and page-turn meetings. Capture minutes and decisions, publish action items with owners and due dates, and drive follow-through to closure. - Records, Turnover & Closeout: - Assemble and quality-check closeout packages including as-builts, O&M manuals, warranties, commissioning reports, and training records. Ensure complete and timely handoff to Data Center Operations and Facilities. - Systems & Process Ownership: - Administer and improve the project management and documentation platforms used by DCIE. Build templates, trackers, and automated reporting that reduce manual effort and standardize how projects are run. - Standards Library Management: - Maintain Lambda’s controlled library of Basis of Design documents, standard details, specifications, and internal procedures, keeping versions current and accessible across the team. - Cross-functional Support: - Support Network Engineering, Data Center Operations, HPC, Supply Chain, and TPM with accurate schedule and documentation inputs so downstream deployment planning is built on current data. Ideal Candidate Profile - Experienced in construction administration, project controls, or document control on complex construction or critical infrastructure programs. - Able to read a contractor schedule critically rather than just repackage it, understanding logic ties, float, critical path, and where a schedule is telling an optimistic story. - Genuinely organized, with a strong instinct for version control, naming discipline, and single sources of truth. - Comfortable with construction drawings, specifications, submittals, and RFIs, and with the vocabulary of MEP and mission-critical work. - Strong with data and reporting tools, able to turn scattered inputs into a clean dashboard without a week of manual assembly. - Persistent and diplomatic in chasing overdue responses from contractors, vendors, and internal reviewers. - Clear written communicator who can summarize status for executives without losing the detail that matters. - Self-directed and dependable on a recurring reporting cadence across multiple projects at once. - Improvement-minded, always looking to templatize and automate repetitive project administration. - Discreet and careful with confidential contract, cost, and vendor information.
