Facilities Coordinator- JLL What this job involves: As a Site Operations Coordinator at JLL, you'll provide essential administrative and operational support to the site management team, ensuring smooth day-to-day facilities operations while serving as a key liaison between clients, vendors, and internal stakeholders. From coordinating vendor activities and managing work orders to supporting front desk operations and client events, you'll be at the center of creating exceptional workplace experiences. What your day-to-day will look like: • Schedule and coordinate vendor activities, site inspections, and work orders for both Facilities and Moves, Additions, and Changes (MAC) • Support front desk operations by greeting visitors, managing snack and refreshment programs, and liaising with regional mailroom teams • Receive and process client requests for operational and event needs, coordinating site meetings and preparing relevant setups and materials • Maintain accurate records of vendor interactions, service requests, and site activities while tracking key performance indicators (KPIs) • Participate in planning meetings with clients, facility managers, and stakeholders to review schedules and address operational priorities • Communicate issues and concerns requiring resolution to appropriate JLL leadership in a timely and professional manner • Assist in preparation of operational reports, budget development, close-out activities, and maintenance of site documentation and procedures Required Qualifications: • High school diploma or equivalent • 2+ years of experience in facilities coordination, operational support, or similar role in a Corporate Real Estate environment • Experience with vendor management including scheduling, coordination, and maintaining vendor relationships • Proficiency in Microsoft Office Suite (particularly Excel and Outlook) and Google Workspace Apps (Sheets, Mail, and core applications) • Strong organizational skills and attention to detail with demonstrated ability to multi-task effectively • Excellent written and verbal communication skills with strong understanding of customer service principles • Ability to work onsite full time with flexibility for travel between client locations Preferred Qualifications: • Bachelor's degree in related field or discipline • Experience in facilities or property management environment with knowledge of building operations and maintenance • Experience with data entry and Computerized Maintenance Management Systems (CMMS) • Understanding of health and safety practices in workplace settings Location: Redwood City, CA Schedule: Monday through Friday 8am-5pm (some overtime required) This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship. Estimated compensation for this position: 79,000.00 – 80,000.00 USD per year This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
