As an Administrative Assistant in the FROSCH team, you will support day-to-day administrative and operational work that keeps the office running efficiently. You help coordinate schedules, vendors, program activities, and reporting so the team can stay focused on delivering high-quality programs and service. You bring structure, attention to detail, and proactive follow-through in a fast-paced environment. Job responsibilities Manage calendars, schedule meetings, and coordinate vendor appointmentsWelcome visitors, answer phones, and respond to internal and external inquiriesOrder, track, and maintain office supplies to support a well-organized workspaceCoordinate office maintenance and support vendor relationship managementManage incoming and outgoing mail and packagesServe as a liaison across departments and with external partners to support timely communicationSupport program administration, including inbox management and lead distribution processesCoordinate logistics and follow-through for industry conferences and regional eventsMaintain updates across teams within project management platformsProduce and distribute weekly and monthly reports for leisure programsSupport expense processing and reconciliation for assigned leaders, including travel and event expensesRequired qualifications, capabilities, and skills Minimum 2 years of administrative or operations coordination experienceStrong organizational skills with the ability to manage multiple priorities effectivelyProficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word)Excellent written and verbal communication skillsHigh attention to detail, especially for data entry and reportingAbility to work independently, prioritize tasks, and follow through on commitmentsProfessional, service-oriented approach when working with vendors and advisorsAbility to handle sensitive information with discretion and confidentialityPreferred qualifications, capabilities, and skills Experience with expense management tools (such as Concur)Experience with project management platforms (such as Monday.com)Experience with customer relationship management (CRM) platformsExperience supporting events, travel coordination, or conference logisticsExperience in travel, leisure, or financial services environments Applicants must be authorized to work for any employer in the US.
